2. Information we receive directly
If you submit the website form or contact us by email, we may receive your name, company, business email, role, product or category, target market, project type, message and any other information you choose to provide.
The website form is processed through Netlify Forms and made available to the site administrator. Business communications may also be processed by the email and productivity services used by HRX.
3. Business information obtained from other sources
For market research, counterparty screening and carefully targeted business outreach, HRX may use information from sources such as official publications, public registries, company websites, professional directories or networks, trade-fair and association websites, public news, referrals, and lawfully available business, customs or trade-data services.
This may include a person’s name, job title, employer, business contact details, public professional information, the source of the information, company-product fit, and communication or opt-out status.
4. How information is used
- To review and respond to business inquiries.
- To prepare scopes, proposals, research, screening, RFQs, comparisons, monitoring or introductions requested by a client.
- To maintain evidence records, project decisions and business correspondence.
- To send limited, relevant B2B outreach where permitted and subject to applicable country-specific rules.
- To prevent fraud, spam, misuse and duplicate or unwanted contact.
- To establish, exercise or defend legal and contractual rights.
5. Lawful grounds
Depending on the context and applicable law, processing may be based on steps requested before a contract, performance of a contract, consent, compliance with legal obligations, or legitimate interests in operating a B2B research and trade-support service.
Where legitimate interests are considered, HRX should assess necessity, relevance, reasonable expectations and the person’s rights. Legitimate interests are not treated as an automatic permission to contact any person in any country.
6. Targeted business outreach and objections
HRX aims to use small-volume, human-reviewed and role-relevant business outreach rather than indiscriminate mass marketing. A recipient may object to direct marketing or ask not to be contacted again at any time.
Opt-out requests are used to stop further marketing contact. A limited suppression record may be retained so that the request can be respected.

7. Sharing and service providers
Information may be shared only where reasonably necessary with hosting, form-processing, email, cloud-storage, document, security or professional-service providers; with project counterparties after appropriate authorization; or where required by law.
HRX does not sell personal contact information to advertisers and does not operate a pay-to-rank buyer or supplier directory.
8. International processing
Because HRX supports international projects and uses online service providers, information may be processed in countries other than the country where it was collected. Appropriate contractual, technical or organizational measures should be used where required.
9. Retention
Business inquiries, project records and correspondence may be retained while relevant to the inquiry, contract, legal obligations, evidence trail or continuing business relationship. Records should be reviewed periodically and deleted or anonymized when no longer necessary.
Suppression records may be retained for the limited purpose of honoring an opt-out request.
10. Your choices and rights
Depending on applicable law, you may ask for access, correction, deletion, restriction, objection, portability or information about the source and use of your data. You may also withdraw consent where consent is the basis used.

11. Security and sensitive information
Reasonable technical and organizational safeguards should be used, but no online system is completely secure. Please do not submit passwords, payment-card data, banking credentials, government identification numbers, complete trade secrets or other highly sensitive information through the website form.
12. Research limitations and confidentiality
Research may use public, client-provided or lawfully available business information. Deliverables should distinguish verified facts, high-confidence evidence, company statements and pending items. Confidential buyer, supplier, specification or quotation information is not published without authorization.
13. Updates
This notice may be updated when services, tools or legal requirements change. The current version will be posted on this page with a revised date.
